2. What personal data we collect
We only collect what we need in order to quote for and deliver cleaning services.
When you request a quote or contact us
- Your name
- Your email address and telephone number
- The postcode and approximate size of the property
- The service and frequency you are interested in
- Anything else you choose to tell us in the message field
When you become a client
- The full service address
- Access arrangements, such as key, keysafe or alarm instructions
- Your agreed cleaning specification or checklist
- Billing details and payment records
- Correspondence between us, including notes of any issues raised
When you use this website
This website is a static site and does not set analytics or advertising cookies. Our hosting provider processes standard technical request data, such as IP address, browser type and the pages requested, for security and reliability purposes.
3. Why we use it, and our lawful basis

4. Who we share it with
We do not sell your personal data, and we never share it for advertising. We do share it with:
- Our cleaners. Only the cleaners assigned to your property receive your address, access instructions and specification, and only for as long as they are assigned to it.
- Our email provider. Enquiries, quote requests and newsletter confirmations submitted through this website are sent to us, and acknowledged to you, through Resend, which processes the message in transit and keeps delivery logs for a limited period. Newsletter subscribers who confirm their address are stored as contacts with Resend until they unsubscribe.
- Our hosting provider. The website is hosted on Vercel, which processes technical request data, including your IP address, to serve pages, protect the forms from abuse and measure performance.
- Our accountant and payment providers. [Confirm: accounting software and bank or payment processor used.]
- Insurers and professional advisers, where a claim or dispute makes it necessary.
- Letting agents or landlords, where they have instructed the work and need confirmation that it was completed.
Where a provider processes data outside the UK, we rely on the UK International Data Transfer Agreement or Addendum, or on adequacy regulations, to protect it.
5. How long we keep it
- Enquiries that do not become bookings: [confirm period, commonly 12 months], then deleted.
- Client records and correspondence: [confirm period, commonly 6 years after the last service] to cover contractual and limitation periods.
- Accounting and tax records: six years after the end of the accounting period, as HMRC requires.
- Access details such as key or alarm information: deleted promptly once we stop working at the property.
6. How we keep it secure
Access to client records is limited to staff who need it for their work. Access instructions are held separately from general client records and shared only with the assigned cleaner. Devices used to hold client data are password protected, and we review who has access when staff join or leave.
7. Your rights
Under UK data protection law you have the right to:
- Be told how your data is used, which is the purpose of this policy
- Request a copy of the personal data we hold about you
- Have inaccurate data corrected
- Ask us to delete data where we no longer need it
- Ask us to restrict how we use it while a concern is resolved
- Object to processing we carry out on the basis of legitimate interests
- Request your data in a portable format
- Withdraw consent where consent is the basis we rely on
To exercise any of these, email info@fbacleaningservices.co.uk. We will respond within one month. There is no charge unless a request is excessive or repetitive.
8. Complaints
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113.
9. Cookies
This website does not use analytics, advertising or tracking cookies, which is why you are not being asked to accept any. If we add analytics in future we will update this policy and ask for your consent before any non-essential cookie is set.
10. Changes to this policy
We will update this page when our practices change, and the “last updated” date above will change with it. Where a change materially affects how we use your data, we will tell existing clients directly.
